ClearSpout is a Crestwell Exteriors company, a sole proprietorship in Ontario. This page says what we collect, why, and what you can do about it. It follows Canada's private-sector privacy law, PIPEDA.
What we collect, and why
When you ask for a quote: your name, phone number, email if you give it, the address of the house, the storeys, whether there are trees nearby, any photos you send, and your answers to the two optional questions. We use these to measure, quote and follow up on your job, and for nothing else.
When you become a customer: the signed agreement, your quote and invoice, payment records (never your card number, which the payment provider holds; for a cheque, its number and amount only, and no image of it in our files), the photos of your gutters before and after, your warranty certificate, any service requests, and the texts and emails between us.
When you use the site: the site sets no advertising cookies and runs no tracking on day one. Our website is delivered by Cloudflare, a hosting service that keeps its records mainly in the United States and Europe. It keeps standard server logs, which include the address your connection uses and the pages requested, for security. The review link in our texts and emails records whether it was opened, so we know whether to send a reminder. The tracking notice has the detail.
Who sees it
Dan, and the people and software that do the work: our field software (quotes, signatures, invoices and card payments), our phone and texting service, our email service, and our own customer database. Each holds only what it needs to do its part. Some of these services store data outside Canada, which may include the United States, where it is subject to that country's laws.
If you send your details through one of our Facebook or Instagram forms, Meta also holds a copy under its own privacy terms; we use your details only to quote your job.
Once our Google Search ads start, Google is told once a week which of its own ad click codes became a quote or a job. That is the click code and nothing else: we never send Google or Meta your name, phone number or email unless you tick a box that says so. The tracking notice says exactly what is stored and when.
We never sell your information, and we never share it with anyone for their own marketing.
Photos of your house are used publicly only if you ticked the photo box on your agreement, and then with no house number, street sign, plate or face.
How long we keep it
Quote requests that don't become jobs: long enough to quote and follow up, then deleted. Customer records: for as long as your warranty runs, and then for the period the law requires us to keep business and tax records.
Your choices
- Marketing messages: only if you ticked the box, and you can stop them any time by replying STOP or using the unsubscribe link. Warranty and service messages continue, because they are about your job.
- See, correct or delete your information: email hello@clearspout.ca or write to mailing address to come. We answer within 30 days. Some records must be kept for legal or warranty reasons, and we'll tell you if that applies.
- Complain: to us first, and then to the Office of the Privacy Commissioner of Canada.
